Job Description

The Administrative Assistant will be a key member of the team to ensure Executives’ demanding schedules, conflicting priorities and communication are managed effectively.  The Admin Assistant will be resourceful, proactive and exceedingly well organized and enjoy the administrative challenges of a growing company.  

Responsibilities

  • Support COO and several VP’s with calendar management, prioritizing commitments, and travel arrangements (planning itineraries, developing agendas, meeting materials and reporting expenses).

  • Work closely and effectively with Leadership to keep them well informed of upcoming commitments and responsibilities, following up appropriately.

  • Maintain both mailing & public relations lists of boards and committees.

  • Management of company website making updates and/or collaborating with external vendor to update.

  • Create presentation materials for external conferences as needed.

  • Partner with Communications Vendor on Company Press Releases.

  • Coordinate Press Interviews as needed.

  • Create Social Media presence for Company and represent it in a professional manner.

  • Manage projects and conduct research to support projects and/or provide background for Senior Leaders’ decision-making.

  • Manage and treat highly confidential information professionally and in accordance with expectations of Senior Leaders.

Required Skills

  • Prior Administrative support experience working in a high-growth and fast-paced environment.

  • Bachelor’s degree preferred with 4+ years related experience.

  • Ability to thrive working in a fast-paced, innovative environment while remaining flexible, proactive, resourceful and efficient.

  • Superior writing skills and exceptional attention to detail.

  • A tenacious yet flexible problem-solver with an ability to manage complex tasks and prioritize competing demands, in order to meet deadlines.

  • Ability to manage the activities and schedules of multiple Senior Leaders with little or no supervision and maintain strict confidentiality.

  • Skilled at exhibiting patience, respect and grace under pressure.

  • Critical thinker who is proactive.

  • Team player, who fosters collaboration.

  • Experience in the biotech or pharmaceutical industry a plus.

  • Advanced proficiency in MS Word, PowerPoint and Excel.
